How can law firms use Copilot for Legal with case documents stored in SharePoint?

Start with the right case files. Use Copilot to help review the document. Keep a person responsible for the work that follows.

By Trovve TeamMicrosoft documentation checked October 28, 2026.

The short answer

A law firm can keep case documents in SharePoint, open the right document in Word, and use Copilot for Legal to help understand or review it. The team should select relevant sources, check the output, and track the remaining work.

Trovve can start the case from a template with folders, tasks, and role-based assignments. The files are stored in SharePoint. Staff then use Word and Copilot for the document work and return to the case task to record what happens next.

These tools work alongside each other in this example. It does not assume an automatic connection between Copilot and Trovve’s tasks.

Microsoft’s October 15 announcement describes legal capabilities in Word and Cowork. They include work on agreements, matter information, and related files. Microsoft’s announcement explains the scope.

What Copilot for Legal can help with
NeedExample use
Understand a documentAsk for an explanation of a clause and inspect the supporting text.
Review an agreementCompare it with the firm’s review instructions or legal playbook.
Prepare changesReview proposed edits before deciding what belongs in the document.
Work across materialsUse Cowork for supported multi-step work, such as comparing agreements or preparing a chronology.

Choose one clear job first. “Explain the payment clause in this agreement” is easier to check than “Handle this whole case.”

What do we need before starting?

The legal capabilities described here require an eligible Microsoft 365 Copilot commercial license. A Microsoft 365 subscription or a Copilot feature elsewhere does not, by itself, prove that this experience is available. Check the signed-in work account and the firm’s settings.

Microsoft documents the legal plugin as enabled by default in Word desktop for commercial Copilot subscribers. Administrators can control access through the policy named Legal Skills in M365 Copilot in Word.

Cowork uses a separate Legal for Cowork plugin and separate administrator controls. See Microsoft’s access-management guidance.

How do we start in Word?

  1. Open the case document in Word desktop.
  2. Open Copilot.
  3. Ask a specific question about the document.
  4. Review the answer and its supporting passages.

The legal skills can be selected automatically when Copilot recognizes legal work. This does not mean that opening a case in Trovve launches a Copilot chat.

For Cowork, Microsoft describes adding Legal for Cowork through Customize. Follow the current getting-started instructions for that experience.

Will a summary appear automatically?

An automatic Word summary is a separate feature from legal chat. Whether it appears depends on the license and organizational settings. Microsoft also documents conditions concerning file location and document length. A summary appearing does not prove a legal review has run.

See Microsoft’s explanation of automatic summaries.

What does a case-to-document-review workflow look like?

Start with a case, an owner, and a clear request. Here is one fictional example.

Maya Collins asks a small firm to review a draft service agreement. Jordan Lee is the paralegal preparing the documents. Sam Patel is the attorney responsible for reviewing the agreement.

Step 1

1. Create the case from a Trovve template

The firm creates Collins Agreement Review — MAT-2026-1042 using its Agreement Review template.

The template supplies this starting plan:

Agreement Review template starting plan
WorkResponsible role
Prepare the case documentsParalegal
Review the draft agreementAttorney
Send the approved responseParalegal

When creating the case, the firm maps Jordan to Paralegal and Sam to Attorney. The named people fill the task roles. The template is a plan for work; it does not perform the legal review.

Step 2

2. Put the documents in the case’s SharePoint folders

The configured template creates folders such as Agreements, Client Documents, Correspondence, and Internal.

Jordan adds DraftAgreement.docx to Agreements and ClientInstructions.docx to Client Documents. These files are stored in SharePoint and appear through Trovve’s case Files area.

The team does not need to move the working document to another filing system just to demonstrate this process. See how SharePoint can organize a small law firm’s case files.

Step 3

3. Open the document in Word

Sam opens DraftAgreement.docx from its SharePoint location in Word desktop, using the available open-in-app option.

Opening the stored document keeps the work connected to its case location. Sam checks that this is Maya’s draft and the intended version before asking Copilot about it.

If staff instead download a separate copy, they should agree how the reviewed version will return to the case folder.

Step 4

4. Ask a focused question and choose the supporting material

In this example, Maya wants 30 days to pay invoices, but the draft says 14 days.

Sam opens Copilot and adds Maya’s instructions as reference material. Microsoft’s getting-started guide describes adding other documents to the chat.

A useful request is:

“Compare the payment period in this draft with Maya’s attached instructions. Identify any difference and show the source passages. Do not treat a requested change as an agreed contract term.”

This is an example request, not a promise that every response will follow the wording perfectly.

Step 5

5. Check the answer before making a decision

Sam reads the actual draft clause and Maya’s instructions. He checks that the answer describes the difference correctly.

A useful response should distinguish what the draft currently says from what Maya wants changed. Fluent wording alone is not evidence.

Sam decides whether to propose a revision. Copilot does not decide whether the term is suitable for Maya’s situation. The firm checks legal advice and the final document.

Step 6

6. Record the result and handle the next action

Sam saves the reviewed work and updates the Trovve task. He records whether the review is finished, further information is needed, or a response should be prepared.

Jordan sends the approved response when assigned to do so. If the firm is waiting for Maya, it sets the next check date rather than treating a sent email as the end of the request.

This handoff is a staff action in our example. It does not assume that Copilot changed a Trovve task automatically. See how to track client replies and follow-ups.

Try it: Can you check the answer before finishing the task?

Choose the case documents, inspect a sample answer, and decide what the team should do next.

This is a fictional teaching exercise. It does not connect to Microsoft 365, run Copilot, or change real files or tasks.

One case. Two sources. One answer to check.

Follow the example. Check the sources before finishing the review.

The example, in plain text

Maya’s draft says invoices are due in 14 calendar days. Her instructions ask for at least 30 calendar days. These are different statements.

The sample answer wrongly says the draft already allows 30 days. Check the source passages, identify the mismatch, and keep Sam’s review task open.

Sam can then decide what change to propose. A generated answer is not a completed legal review, an accepted revision, or a message sent to the client.

How do we know which documents Copilot used?

Start with the intended document and add the relevant references. Keep a simple source list for the review: filename, case, and version.

Then check the source passages supporting the answer. A citation can help you locate evidence, but you still need to read it and decide whether it supports the claim.

Do not assume that putting ten documents in one case folder means every answer considered all ten. If completeness matters, make a list of the required files and check them against the work performed.

For a long agreement, use focused questions and inspect sections that matter to the request. Microsoft’s Copilot in Word FAQ discusses processing limits and reviewing generated content.

If a file is missing, resolve access or selection before relying on the answer. Do not replace a missing source with a confident guess.

How should we handle permissions and confidential case files?

Check SharePoint access before introducing AI into the workflow. Microsoft says commercial Copilot respects the user’s existing organizational permissions and that prompts, responses, and Microsoft Graph data are not used to train foundation models.

That makes existing permissions important. If a person has access that is too broad, merely putting files in separate case folders does not correct it. A prompt saying “Only use this case” is also not an access control.

For the example firm:

  • Check the case folder using the actual staff account.
  • Check sharing links and inherited access.
  • Confirm that only the intended people can open sensitive files.
  • Keep the selected review sources limited to the intended matter.
Two separate settingsTrovve case privacy and SharePoint file permissions are separate settings. Making a case private in Trovve does not automatically rewrite the SharePoint folder’s permissions.

Microsoft’s data, privacy, and security guidance explains the commercial service. The firm’s own information-handling policies and professional responsibilities still apply.

Is a case template the same as a document template or legal playbook?

No. They solve different problems.

Case template, document template, and legal playbook compared
ItemWhat it supplies
Trovve case templateStarting folders, tasks, timing, and role-based responsibilities
Word document template or precedentStarting document language and structure
Legal playbookThe firm’s review rules and preferred positions

A case template can assign Sam to review an agreement. It does not tell him which clauses to accept.

A document template can supply starting language. It does not prove that a different agreement follows the firm’s review rules.

A playbook provides review guidance. Microsoft’s Copilot for Legal documentation describes structured playbook reviews and limitations of the generated results.

Common questions

Can we use Copilot without Trovve?

Yes. Microsoft provides Copilot independently. This example shows how a firm can organize the case and responsibilities in Trovve while keeping its documents in SharePoint.

Does saving a file in SharePoint make it available to everyone?

No. Access depends on SharePoint permissions and sharing. A folder name is not a security setting.

Can Copilot see Trovve’s tasks and assignments automatically?

Do not assume that. This guide uses SharePoint documents as the common file location. It does not demonstrate an integration that exposes Trovve’s task data to Copilot.

Can Copilot help beyond the open Word document?

Yes. Microsoft’s launch announcement also describes broader work in Cowork. Choose the supported experience for the job and check its sources and proposed actions.

Can it replace legal research and professional judgment?

Do not treat it that way. Microsoft documents possible errors, incomplete analysis, and jurisdiction-related limitations. Verify legal authorities through appropriate sources and have a qualified person review the work.

A simple case-review checklist

Before the team treats a review as finished, check:

  1. The correct client, case, and document version.
  2. A named person responsible for the review.
  3. Access to each required source.
  4. The difference between the draft’s actual wording and requested changes.
  5. Supporting passages for important claims.
  6. Human review of the proposed result.
  7. The next task, approved response, or follow-up.
